(1) We have changed the batch slip to print 7xx funds on a separate batch slip from the other funds. (2) We have modified the batch slip so that it will no longer print vouchers that are not available for payment. So, if the voucher has been deleted, the voucher has a matching error or budget checking error, or the voucher has not been matched or budget checked, then the voucher will not print on the batch slip. Impact: Agencies are used to entering/loading vouchers and then immediately printing the voucher batch slip. With the changes that have been made, this procedure will need to change. The budget checking and matching process runs each evening so the vouchers entered/loaded on one day will not be available to be printed on the voucher batch slip until the next day. These changes will allow the batch slip to accurately portray the vouchers that are available for payment. FY-04 (current year) Capital Outlay Expenditures by fund, activity, and by sub-activity (rounded to the nearest $000's.) This information is needed by the December 31st or sooner. This meeting included Finance/Payroll/IT staff from the University of Oklahoma, Health Sciences Center, Oklahoma State University, Rose State College and the Regents office. One outcome of the meeting was the recognition and agreement among the participants that a Higher Ed Steering committee is needed that will actively participate in the identification of issues, problem solving, interface development, communication, decision making, etc. during the course of this project. It was recommended that the group be representative of the largest universities down to the smallest 2 year college and include around a third of the institutions in the system. This group would be required to attend a number meetings throughout the life project. Because of the number of meetings and driving distances for many institutions I am proposing that the following institutions make up the steering committee. This group includes the largest universities, two regional universities, and three 2 year colleges in addition to a representative of all the different software systems used except two. Northeastern State University uses Bi-Tech and Eastern Oklahoma State College and Cameron University use Sunguard. Representatives from these colleges could also be included if they would be willing to make the longer drives. Your feedback on this recommended approach and suggested institutions is appreciated.
