Everyone has done a good job of loading files and then checking your load control reports to make sure everything has loaded successfully. We have had very few problems with files getting loaded. We have been doing some extra testing on the batch upload process to insure that the information will be submitted accurately to the feds. We sent a 'validation' files last night which validates the data without loading it. This allowed us to see the warnings/errors from the feds. I will be sending that information out this morning. If you get an email, please fix any problems and resubmit your files through the normal process. We will be loading the awards to the federal website this morning. Any awards that did not have errors should successfully loaded. We are seeing a few common errors/warnings: 1) You have reported jobs created/retained but no expenditures or invoiced amounts (warning). 2) Congressional district is wrong - in the error message, they are providing the congr district they think is correct (error). The federal government will allow us to load/correct information on the federal website through next Friday, January 15th. After that time, it will be considered a late report. However, if you are only receiving the message regarding the infrastructure amount, this means that you have reported funds invoiced and/or expended so this is probably a 'warning' that can be ignored. I will try to get some clarification on this because if this is the feds approach, then this means we will receive these warning messages each time we try to upload data. We will be providing feedback as soon as possible so errors can be fixed. If you have submitted awards, please go to federalreporting.gov to review/validate your information. Here are a couple of suggestions for viewing awards: 1) Enter your DUNS number and 'Search'. You should see a listing of all of your awards. Verify that all of your awards have loaded. You will also see if any awards exist with old award numbers, etc. If awards exist with old DUNS numbers, submit a help desk case (helpdesk at osf.ok.gov) asking us to deactivate the award - be sure to provide the award number in the help desk case. 2) Review each award number to validate the amounts, the number of sub recipients and the vendor payments. If you filed a helpdesk case to include additional activity codes, make sure those updates have been made. If you identify any issues, file a help desk case and we will help research the errors. Also, if we need to deactivate award, subaward or vendor details or include additional activity codes on an award, those should be submitted through a help desk case. However, if you read the 'fine print', it also states that 'Reports filed after January 15, 2010 will be considered late reports'. Based on the information they provided, recipients are now in the 'review' period where you may review and fix any errors found on your reports. However, any changes will be flagged as 'late reporting'. The only real change that the revised policy allows is that it will allow a recipient to file a 'new' report during this time frame. Prior to this announcement, new reports could not be filed after the January 15th deadline. If you would like to read more on the announcement, the information is posted on the federalreporting.gov website. At this point, the State of Oklahoma has submitted 360 reports for the 12/31/09 reporting period. This is an increase of almost 40 reports over the 09/30/09 reporting period.
