I am a little "old school" when it comes to wanting a signature on a triplicate form that gets distributed to three different offices. We have a number of checks and balances with something so important as a change of grade and this ensures that the appropriate instructor and dean are signing the form, not someone's assistant. We could automate the process a little with the workflow we have at our disposal, but the workflow process that we have is separate from our ERP system and, therefore, the process would not add much value yet would increase the possibility of someone submitting a change that should not be doing so, thus we continue pushing paper with these requests. We have not automated petitions (late withdrawals, never attendance review, etc), but it is more due to lack of time and, at this point, this type of project is not very high on the priority list of "things" to do given the other projects that are a little bit more important. We will run into the same issue though, with our workflow being separate from our ERP, it doesn't add much value to us. We are getting close to finishing a customized project within our ERP system that will allow an instructor and division dean to authorize enrollment into a class or specific section for late enrollment and capacity and pre-requisite override. This will allow many offices to authorize enrollment while allowing the student to go on-line to enroll rather than forcing the student to come on-campus to enroll. On our application we ask that they provide a written statement which is sent to the Dean of Students where he runs a background check and possibly calls the applicant in for an interview. He would like to be step up this process so here are my questions. 1. Do you have a form required by students with felony convictions to complete prior to an admission decision being made? 2. If yes, is it only for this group of students or do you use it for other convictions such as misdemeanors? 3. Do you charge the student to have a background check run? 4. If yes, how much? 5. Would you be willing to share your form with us? If so, please email to bapplemn at ecok.edu. 6. Do you have varying degrees of admissions? For example, they can be admitted but not live in campus housing. 7. If admitted, do you put any stipulations on any of the students? For example, report to the Dean of Students monthly. The purpose of my correspondence relates to how your campus addresses the enrollment of military students who have been called to active duty at any point during their semester. A senate bill [attached] has been introduced which will require institutions to grant a leave of absence for a student who is a member of the active uniformed military services of the US and is called to active duty. The language in the bill stipulates that these students shall be eligible to: 1. Withdraw from and receive a refund for any or all classes for the period of active duty service without penalty to admission status or grade point average and without loss of institutional financial aid; or 2. Receive an incomplete grade for any or all classes for the period of active duty status; provided, however, that the student has completed a minimum of fifty percent (50%) of all class work prior to being called to active duty and the student completes all classes upon return from active duty. The student's admission status and grade point average shall not be penalized, and the student shall experience no loss of institutional financial aid. The part of the language in the bill that concerns me is the provision that states students may bring an action in district court for actual and compensatory damages for noncompliance and may be granted such relief as is just and proper under the circumstances if an institution within the Oklahoma State System of Higher Education fails to comply with provisions outlined in the bill. I do know that some institutions have policies in place that are similar to 1 and 2 above, but I would like to have a better understanding of how our state system institutions address the enrollment of those military students called to active duty. If you will provide me with a link to your policy, it will be greatly appreciated.
