From Jonna.Raney at okbu.edu Tue Sep 2 11:33:02 2008 From: Jonna.Raney at okbu.edu (Jonna Raney) Date: Tue, 02 Sep 2008 11:33:02 -0500 Subject: [Oasfaa] File Shredding question?? Message-ID: <48BD246E.80C9.009B.0@okbu.edu> I'm having a "small" debate w/ a member of our Adm team and I'd like to know what others do. We have an organization in town that shreds for businesses in town. The organization is staffed by disabled people who generally cannot even read, but I guess their supervisors can. Anyway, our office has used them for years and have never felt like we were endangering anyone's identity. We have verified that when they pick up the materials, it is shredded the same day and not sitting around in boxes somewhere. However, now the Adm office wants to buy a high-powered shredder and thinks I should help pay for out of my budget because "it's against the law for me to send my shredding off campus." I asked for documentation of such law and she of course, doesn't have that..... Anyway, is anyone else sending your docs off-site to be shredded? I thought this was common practice, but maybe not. If you agree w/ Adm, don't worry about hurting my feelings...I'd just like to know what you do. Thanks in advance for any feedback, Jonna From Jonna.Raney at okbu.edu Tue Sep 2 12:38:27 2008 From: Jonna.Raney at okbu.edu (Jonna Raney) Date: Tue, 02 Sep 2008 12:38:27 -0500 Subject: [Oasfaa] Shredding summary Message-ID: <48BD33C2.80C9.009B.0@okbu.edu> I received a lot of quick responses! Everyone agreed that it's ok to send shredding off campus as long as you know the company etc. There were a 2 or 3 schools who are more cautious and do their own shredding, but still agreed it was ok. Thanks again to everyone! I've already sent the summary of responses to ADM, so I doubt that I hear anymore about it. :-) Jonna From lhollingsworth at osla.org Thu Sep 4 15:25:21 2008 From: lhollingsworth at osla.org (Larry Hollingsworth) Date: Thu, 04 Sep 2008 15:25:21 -0500 Subject: [Oasfaa] OASFAA Fall Decentralized Training Announcement Message-ID: Greetings Everyone, It's that time of year again to mark your calendars for our annual OASFAA Decentralized training. This year the Oklahoma training will be taking place on Friday, October 10. Our trainers will be none other than David Barron and Mendy Schmerer. The training will take place in Norman on the University of Oklahoma campus. The topic, Aspects of Student Eligibility deals with basic student eligibility for Title IV aid issues. It will focus on database matches, verifying veteran status, recent modifications to constructing the cost of attendance (COA), and changes to Federal Methodology (FM) effective for the 2009-10 award year. This is something applicable to every financial aid office. You do this stuff everyday. Come and either confirm what you are doing is correct or confirm what you need to be doing differently, or probably a combination of the two. Since we are not having a fall OASFAA Conference this year, we are hoping this training opportunity will afford you the chance to touch base with colleagues and "brush up" on constantly changing regulations. We are trying to avoid a registration fee for attendees. Lunch will be provided. However, we have not yet been able to finalize some of the arrangements. If a registration fee is required, it will be a nominal amount because we are wanting as many to participate in the training as possible. At the same time, please note that this year there will be a $60 charge for the materials. We will be ordering 60 packets. Last year 55 schools attended the training. Therefore, the first 60 schools to register and request a packet will get priority. If we need more than 60 packets, we'll try to get more, but no promises. Now, how do we handle registrations? You know the drill. I like to keep it as simple as possible. Please reply with the number of the attendees from your school and how many packets you would like to purchase. The attendee count is to give us a preliminary idea of what we might be looking at for lunch. In late September, I'll shoot you a reminder email with final details and ask for the names of the attendees so we can firm up the count in case there are any changes. This will be a great training opportunity. We look forward to seeing everyone there. Thank you, Larry Hollingsworth OASFAA Training Committee Chair -------------- next part -------------- An HTML attachment was scrubbed... Recently it has come to light that some institutions who intend to participate in the TEACH Grant are not on the Department of Education's list of eligible institutions for this program. I have attached the most recent list of eligible institutions sorted by state. Jeff Baker with the Department of Ed has asked to be notified of any schools who intend to participate in the TEACH Grant and are not on the list. His email is jeff.baker at ed.gov if you want to tell on yourself. :) I realize some schools have opted not to participate in this program, but I just wanted to give everyone a "head's up" in case you thought you were approved but are not on the list. It's possible that your school was left off the list because your updated E-App is still being reviewed. However, if your institution intends to participate in this program and has not gone through the proper channels, you should refer to the Dear Colleague letter GEN-08-07 at http://ifap.ed.gov/dpcletters/060308GEN0807.html for the guidance on how to gain institutional eligibility. As stated in the OTAG Timelines and Procedures for 2008-2009, the president or chief executive officer at any institution not meeting the October 3 deadline will be notified. While October 3 is NOT the final deadline for submitting fall OTAG award claims, we again request cooperation from all institutions in finalizing their fall award claims as soon as possible. The timeliness of award claims submitted by institutions leads to the timeliness of OSRHE being able to identify funds availability for spring semester awards and to announce any change in the spring awarding cutoffs (currently 4/30/08 FAFSA receipt date and 1700 EFC). Attached for your information is a spreadsheet that compares 2008-2009 award commitments as of today with final 2007-2008 awards and expenditures for each institution. If you need a pre-populated OTAG Award Claim Form, please send e-mail to . If you need a blank OTAG Award Claim Form template, click here: http://www.okhighered.org/admin-fac/FinAidResources/docs/otag-award-clai m-form0809.xls. We appreciate your assistance in delivering OTAG funds to Oklahoma's students, and we appreciate your cooperation in finalizing your fall OTAG award claims and disbursements as expeditiously as possible. If you go to the old site, you should be redirected to the new homepage. We want to extend a huge thanks to the University of Oklahoma for hosting the OASFAA website over the past several years. We appreciate all the work they did to keep OASFAA online. We have also created a new email address that will be used to send out the voting ballot for our election. This email address is contact at oasfaaok.com. Please add this to your do-not-block list so your email system does not think it is spam. Someone will check this email account on a regular basis, but do not hesitate to email me or any of the OASFAA board members directly. We will continue to add content to the new website, so please keep checking back. We are currently working on updating the membership directory with everyone?s contact information. All the regular school members (anyone from a financial aid office who has attended one of the last three conferences) should now be included in the directory. If your information has been posted incorrectly, please let me know and I will correct it. I will work on adding the associate membership (the vendors) to the directory as soon as I can. We wanted the directory to include non-OASFAA members of the Oklahoma financial aid community as well, so if you want to be added, please send me your name, institution, title, address, phone and fax numbers, and your email address. To find archived documents, such as the helpful charts that our friend Pam McConahay provides every year, click on the Inside OASFAA link on the top menu, then click Archived Documents on the left-hand menu. This is where I have added the volunteer form for those of you who want to be involved and did not have a chance to complete the volunteer form at last spring?s conference. Please fax these volunteer forms to me as soon as possible at 405.717.4392, and I will forward them to the appropriate committee chair(s). Thank you to all of you who have already volunteered. Your names have been forwarded to the committee chairs. I hope you are off to a great year. I look forward to seeing everyone at decentralized training on October 10.
