(HSC) Subject: [SWASFAA Team Chatter] SWASFAA Conference Mini-Site SWASFAA Team Chatter has posted a new item, 'SWASFAA Conference Mini-Site' I hope everyone survived the craziness of August. I always feel like I have a touch of PTSD after getting through the first couple of weeks of a new semester. This year I survived mostly unscathed, just a little sleep-deprived. But I haven?t had a full night?s rest since 1994, so I?m not sure I can blame my restless nature on work stress. Now that the beginning of school is over, hopefully everyone will have a chance to check out the SWASFAA Conference Mini-Site. This is where you can find details about Boot Camp, the Leadership Workshop, and the Annual Conference. Hotel information, registration details, tentative agendas, travel information, exhibitor options, restaurants?everything is here, folks, so please take a few minutes to peruse the site. Here is a rundown of the three main events that will take place during the first week of November: Boot Camp remains one of the most popular events that SWASFAA offers. This is a great opportunity for people who are new to financial aid and want some intense training, but it?s also an option for more seasoned professionals who need a refresher course on subjects like verification, loans, campus-based aid, R2T4, and SAP. Boot Camp begins at 1:00 p.m. on Monday, November 3rd and will end before lunch on November 5th. You?ll get the equivalent of two full days of financial aid training, but even more importantly, you?ll make lots of friends with other people in the profession?friends that you will rely on to help you throughout your career.? The Leadership Workshop is a half-day seminar that we decided to offer based on feedback from the financial aid community. People said they needed more training in management issues and on how to take the next step in their careers. Sometimes we get so bogged down with regulations that we forget that professional development is equally important. Whether you've been in financial aid for six months or thirty years, there?s always room for growth.? At this workshop, you will have the opportunity to learn more about the different personality types, which can help you to interact better with families, co-workers, and students who want their money RIGHT NOW. This workshop will take place on the morning of November 5th, so if you are coming to New Orleans the day before the conference, you can spend the next morning honing your leadership skills.? The Annual Conference will start at 1:00 p.m. on Wednesday, November 5th. You won?t want to miss our keynote speaker, Sally Ann Roberts, an anchorwoman in New Orleans and sister of Good Morning America?s Robin Roberts. As always, we will have speakers from the Department of Education and NASFAA, who will update us on the hot topics in the financial aid community. Are you still confused about how to determine 150% subsidized loan eligibility? Do you need help preparing a default management plan and developing financial literacy materials? Is safety on campus a concern at your school? We?ll have sessions on all these things and more. If you still have questions after the sessions, then the trainers will be more than happy to talk to you afterward. We will also have several panel sessions, in which you will learn different perspectives from various sectors in the financial aid community. We?ll finish up with the Federal Update on Friday morning, November 7th. Even though November seems like a long way off, it will be here before we know it. In the meantime, I will be traveling to the state conferences in Arkansas, Louisiana, and Texas in the first half of October. I?ll blog about my experiences at the state conferences in the weeks ahead. If I don?t see you at one of the state visits, then I hope to see you when we gather in New Orleans for a several days of training, networking, and (of course) fun! As Chair of NASFAA's GPIC Task Force, I was asked to send out this survey to the grad-professional list-serve so please don't be confused by my name at the end of this email. As you may be aware, NASFAA has created a Servicing Issues Task Force co-chaired by Peg Julius, Kirkwood Community College and Tami Sato, Ketchum University. If you have not already received this brief survey, please take a few minutes to complete it. Also, feel free to forward it to any of your state, regional, and or discipline specific association colleagues who might be interested in helping the Task Force out with their honest input. Over the last several years financial aid administrators have voiced concerns about disruptions, inconsistencies, and lack of quality servicing on federal student loans. It has been difficult to fully grasp the extent to which servicing issues exist and to understand the disparate servicing practices between various servicers. To address these issues, the National Association of Student Financial Aid Administrators (NASFAA) and the National Direct Student Loan Coalition created a task force to examine issues related to student loan servicing. The task force has created a survey in order to assist them in better understanding current servicing issues and practices when making recommendations to Federal Student Aid (FSA) and loan contractors on how to improve the process for borrowers. Specifically, the purpose of this survey is to learn which issues borrowers are experiencing and if those issues are pervasive. The Servicing Issues Task Force will use your aggregated, confidential responses internally to help guide their discussions and recommendations. This survey should take no more than 5 minutes to complete, and may be completed by multiple staff members within the same office. If you received an invitation to complete this survey directly from NASFAA please use the link provided there, otherwise you may complete the survey by clicking here. Everyone who receives NASFAA?s Today's News has received this survey invitation, however if there are others on your campus you feel the task force would benefit by hearing from, please feel free to forward this email to them. Please complete this survey by 5pm ET, Friday, September 12, 2014. If you have any technical questions about the survey, please contact Charlotte Pollack, NASFAA research analyst. If you have any questions about the Servicing Issues Task Force, please contact NASFAA's Policy Team. Basically, if the award has already been disbursed to an eligible student the money needs to be returned to the program if: (1) The tuition on which the award is based is being refunded or will not be charged to the student OR (2) The classes are being cancelled from the student's schedule and no grades will appear on the transcript for the classes for which the award was paid. Please note that partial withdrawals may require different handling; however the same principles apply. Generally, funds should not be disbursed to a student that has already withdrawn or has made a change that affects the student's eligibility for the award. Irala K. The SWASFAA Board held its third meeting of the 2014 year, so I thought it would be appropriate to send a summary. And you know that saying about good intentions? I've intended to do this for our first and second meetings, but... If you are interested in more details about any of the SWASFAA activities or reports, please contact me directly. President's Report o Oklahoma's own Andrew Hammontree, SWASFAA President, certainly keeps busy with the business of SWASFAA, but also serving NASFAA as one of our region's representatives. At the NASFAA level, in the meetings he attends and the discussions he participates in, he contributes SWASFAA's voice in charting NASFAA's policies and member benefits. o Joe Pettibon, of Texas, was serving as SWASFAA President Elect, but in late July had to resign his position with the Board. After intense discussion among the Board members following his announcement, the motion was made, and approved, that Andrew would serve as SWASFAA President for a second term, and Lisa Hopper, of Arkansas, would remain as Past-President for a second term. Personally, while I don't envy Andrew's workload, I am excited about what he can accomplish with having a second year to set-and achieve-goals for the Association and its members. Andrew, thank you for your willingness to continuing to serve! Past President's Report o Lisa Hopper serves as SWASFAA's other representative at NASFAA meetings. She also travels to the NASFAA Board meetings and serves on committees that, like Andrew, help shape NASFAA's direction. While the President serves NASFAA in the affectionately referred to "peanut gallery" as the observer, the Past President is the voting member on the NASFAA Board. Treasurer's Report o The Treasurer reported on SWASFAA's stable financial health and a modest growth in investments. Membership o SWASFAA membership has increased from this time last year, but if you still need to renew your membership status and/or pay your membership dues, please go here. Nominations and Elections Committee o A slate of officer candidates was presented to the Board and approved. Voting commenced and has since closed. The votes are tallied, but the results are currently locked in the same vault as the recipe for Coca-Cola and the Colonel's 11 herbs and spices. We will be able to announce the new Board members at the annual conference in November. State Reports o Each of the 5 states' Presidents and Delegates (Arkansas, Louisiana, New Mexico, Texas, and of course, Oklahoma) offer reports on the activities within their respective states. Given the busy time of year in our profession, this tends to be a slow time for associations, so the reports were all brief. Archives o The Archives Committee worked with SWASFAA's web hosting company over the summer and now over 700 pictures are loaded onto a new photo gallery. Visit the SWASFAA home page and click on "Visit the SWASFAA Photo Gallery" link to peruse them. Awards and Recognition Committee o Lisa Hopper is collecting names for years of service awards and retirees, so please contact her if you haven't submitted your name yet. Training o SWASFAA presented its first webinar on May 29 as a panel discussion on PJ Best Practices. I hope you were able to attend. I know Andrew wants to offer several more in the future, so please let me know what topic you would be interested in hearing, and/or if you would like to suggest the name of a presenter, and I can present that to the Board. Sadly (for us), Scott DeBoard, who has a lengthy history of working as an aid administrator in Oklahoma, and has been with OCAP the last 2 ? years, and has served OASFAA and SWASFAA well in several capacities over the years, announced his resignation. He has accepted a new position, and while he will still be in higher education, he will not be in financial aid any longer. Scott, congratulations and thank you for your service over the years, and I know we all wish you well in this new venture! You will be missed! Electronic Initiatives Committee o Has worked hard to make sure the registration for all events and membership renewal goes smoothly. Also, if you have yet to read the blog, like us on Facebook, or follow us on Twitter, find those here. Conference and Events o Find the conference mini-site here for details and registration information! o As there are several of us who keep posting about the SWASFAA conference and related events, I think you are all aware by now that the SWASFAA conference is being held at Harrah's New Orleans November 5-7. Audra Main, my colleague across the hall, is serving as the Conference Chair and has worked with her committee to put together a fantastic agenda for "Regs, Compliance and All That Jazz." o Boot Camp is being held just prior to the conference, at the same site, on November 3-5. I'm honored to serve on the committee and I know we're looking forward to the "Parade of Knowledge." o I have the pleasure of chairing the Leadership Development Committee, and can't encourage you enough, if you haven't already, to think about attending. Not only will we have a great agenda on leadership development, but this is your chance to get up close and personal with SWASFAA Board and Committee members, and NASFAA President Justin Draeger and NASFAA Chair Eileen O'Leary. Register now, before all of our seats fill up! o The Corporate Relations Committee reported that they have 15 exhibitors secured for the annual conference. o The Local Arrangements Committee is putting together a delicious menu for the conference (we will be in NOLA, after all!), a jazz band for the opening session, and some Mardi Gras-like fun. What would New Orleans be without delicious food, good music, and Mardi Gras?? o Site selection for the 2015 conference is currently being discussed. The conference rotation will take us to beautiful New Mexico, and once a contract is signed, the dates and location will be announced. And if you got all the way to the end of this, thank you for sticking with me through this report! Have a wonderful weekend! Mendy Schmerer, M.Ed. One more August in the books, right?? Now, just to get that pesky FISAP done and crossed off your to-do list.? And the 2016 aid year set up will be looming in the blink of an eye. 2016?? That just can?t be possible! With all the other things you have to do, I?m here to add one more to your list.? I am sure by now you have seen the plethora of reminders about the SWASFAA events in November. ?Specifically, I would like to remind you about the inaugural SWASFAA Leadership Workshop.? It is being held Wednesday morning, November 5, from 7:30-12:00. While SWASFAA?s Boot Camp is often geared for those new to financial aid or those who need a refresher, often the emerging leaders in our profession are not targeted with leadership development opportunities.? After polling the membership, we realized how much we, as an association, need to create some of those opportunities. If you are at all interested in developing those leadership traits that are essential to moving to the next rung on the leadership ladder?in your office, in your association, and your personal development?this 4 hour workshop is for you! We will begin with breakfast at 7:30 and move quickly into a jam-packed agenda on which the Leadership Development Committee has been hard at work.? For a mere $75, you will perform the True Colors assessment and learn how best to use, and strengthen, your colors, and work successfully with those who exhibit different colors than you, you will hear from the Leadership Development Committee about the 5 most essential topics of leadership in a financial aid office, and you will have the opportunity to ?speed date? with the SWASFAA Board and Committee chairs and NASFAA leadership. We are intentionally limiting the size of the audience in order to create the best opportunities possible, in our limited amount of time, for discussion, development, and networking.? Reserve your spot today before we reach maximum capacity! For the specifics on the agenda and a link to register, please visit the Workshop?s site.? Hope to see you in New Orleans! Just wanted to send you a quick reminder about this year's SWASFAA Conference. There have been a lot of emails sent out over the last few months promoting this conference because we have our own group of fantastic Oklahomans leading the event! This year SWASFAA's president is our own Andrew Hammontree from Francis Tuttle Technology Center. The Conference chair is Audra Main from OU Health Sciences Center. Audra is also OASFAA's president-elect. Mendy Schmerer, also from OU Health Sciences Center, is heading up SWASFAA's Pre-Conference Leadership Workshop. Go Okies! The SWASFAA conference dates are November 5-7. The Leadership Workshop, mentioned above, will be held the morning of November 5, right before the conference begins. And as always, SWASFAA will host their fabulous Boot Camp for new financial aid officers, or for anyone who wants a great refresher course. Boot Camp will be held from November 3-5. Registration for all of these events can be found at: http://www.swasfaa.org/docs/forms/memConf14.html The deadline to register without a late fee is Friday, October 24. You may also like to visit the SWASFAA Mini-Site. It provides you with agendas for the conference and Boot Camp, along with information about the new Leadership Development Workshop. You'll also find hotel information as well as a list of great things to do while you're in New Orleans. You can find the mini-site here: http://www.swasfaa.org/docs/conferences/site/index.html SWASFAA will be held at Harrah's Hotel. The deadline to register, and still qualify for the conference rate, is October 16. If you have any questions about the upcoming SWASFAA Conference, you may contact Andrew, Audra or Mendy. They'll be happy to share any information they have about these events. We look forward to seeing all of our OASFAA colleagues at SWASFAA! While October 1st is NOT the final deadline for submitting fall OTAG award claims, we do request cooperation from all institutions in finalizing their fall award claims as soon as possible. The timeliness of award claims submitted by institutions leads to the timeliness of OSRHE being able to identify funds availability for spring semester awards and to announce any change in the spring awarding cutoffs (currently 3/31/2014 FAFSA receipt date and 1700 EFC). If you need a pre-populated OTAG Award Claim Form, please send e-mail to reports at otag.org . If you need a blank OTAG Award Claim Form template, you can go to http://www.okhighered.org/admin-fac/FinAidResources/otag.shtml to retrieve one. We appreciate your assistance in delivering OTAG funds to Oklahoma's students, and we appreciate your cooperation in finalizing your fall OTAG award claims and disbursements as expeditiously as possible. Please contact our office if you have questions or need assistance with the OTAG award claim process. Irala K.
