I know it was discussed on the zoom last week that it would be helpful to know how other schools approach the changes to OTAG. I thought I would go ahead and share what we are trying here at OBU. We started awarding in November so we had to go ahead and implement our changes early. I re-wrote our rule to remove the file by deadline and we will instead approach it more similar to OTEG in that it will be more of a "first come first serve" to award up to a certain point but without the set deadline. Per the Regents suggestion, I went back to our 1920 allocation and used that as my baseline for how much to award (obviously awarding a little more than that to account for students who will not come). I also included in the rule that they must also have Pell to satisfy that requirement. Our rule will allow them to have increments between $200 and $2000 as the maximum and then Banner is determining that total based on percentages of unmet need, per our awarding parameters for new students. Continuing students who had it previously will default to the full $2,000 as a means of aligning with the continuously enrolled parameter. We considered some of the other guidelines - for example awarding students who do not have other Oklahoma grants - but in doing some research on our population of students I don't think that guideline will work well for us. We don't have a large number of Oklahoma students who are Pell eligible and would not have either OHLAP or OTEG. We also looked at the high need field guideline and, again, didn't feel we had a large enough pool of students who would meet all of the criteria there. We are trying this is a starting point, but I'll be continuously monitoring and determining if we need to make additional adjustments. I'm open to any suggestions we may not have considered and hope this helps give someone else a starting point, as I felt a little lost starting out. Happy Monday! Pre-populated Award Claim Forms generated by OTAG for Spring 2022 will include: * students who were awarded and disbursed in Fall 2021 * students who were awarded and subsequently cancelled in Fall 2021, unless they were cancelled due to a change in EFC greater than 1700 * students with award potential who were not awarded in fall but could be awarded in spring. Students included in an Excel pre-populated Award Claim Form for spring will be sorted in the following order: * Awarded * Cancelled * Pending On the Excel spreadsheet Award Claim Form this status will be displayed in Column J. On the Text Award Claim Form the status will be displayed in Field #11, Position 71. As in fall Award Claim Form reporting, institutions using the pre-populated form will need to delete information for students who should not be paid in spring and edit the information as appropriate (FT/PT, over-awards, etc.) for the students to be paid in spring. Enrollment status for students that were awarded in the fall will be the same as reported on the fall Award Claim Form. Full-time enrollment status will be assumed for pending students.
