Please find budget entry clarifications to OMES Things to Know from a fellow institution that has completed the process.

Good afternoon Sheri,

We did take advantage of the budget work sessions that are currently being offered, the session provided much needed clarification that we think might be helpful to other higher education institutions.


1.      The "Things to Know" document listed the incorrect version in the original document, this was corrected in an e-mail sent yesterday at 2:52 p.m. We entered ours incorrectly based on the original document. We think it is important to note that if the figures were not entered on the BWP Agency version, the figures entered on the Agency version will need to be deleted and then re-entered on the BWP version.


2.      The "Things to Know" document indicates that all higher education institutions must complete Task 5 - Plan Agency Revenue and Task 6 - Plan Agency Expenditures. According to the budget analyst at the budget work session, higher education institutions only have to complete Task 6 - Plan Agency Expenditures, sub task Plan Operational Expenses. We do not have to complete Task 5 or any other sub task.


3.      The "Things to Know" document indicates that HIGHER EDUCATION (INPUT) must be selected in your POV as the Statewide Program, this is correct. However if you want to see the information that was entered last year, you must select NP000 instead of HIGHER EDUCATION (INPUT).


4.      Below are some POV tips that will help people enter figures in the correct location:



>  Fund 290 POV - First drop down box, agency number_1100001 - Instruction. Second drop down box, No_Project. Third drop down box, agency number_NoOPR_NoPRDs. Fourth drop down box, agency number_29000 - Education & General. Fifth drop down box, HIGHER EDUCATION (INPUT). Sixth drop down box, No_CFDA.



>  Fund 430 POV - First drop down box, agency number_2100001 - Sponsored Programs. Second drop down box, No_Project. Third drop down box, agency number_NoOPR_NoPRDs. Fourth drop down box, agency number_43000 - Agency Relationship Fund. Fifth drop down box, HIGHER EDUCATION (INPUT). Sixth drop down box, No_CFDA.


>  Fund 700 POV - First drop down box, agency number_0100001 - Agency Special Account. Second drop down box, No_Project. Third drop down box, agency number_NoOPR_NoPRDs. Fourth drop down box, agency number_70000 - Agency Name ASA Fund. Fifth drop down box, HIGHER EDUCATION (INPUT). Sixth drop down box, No_CFDA.



>  Capital Budget POV - First drop down box, agency number_9000001 - Capital Improvements. Second drop down box, No_Project. Third drop down box, agency number_NoOPR_NoPRDs. Fourth drop down box, agency number_29500 - Capital Improvements Rev Fund. Fifth drop down box, HIGHER EDUCATION (INPUT). Sixth drop down box, No_CFDA.

Lia Tepker, our budget analyst asked that this information be sent again to budget entry preparers.  Please share with the appropriate people of you campus.  She is getting many questions that have been addressed in these documents that have been sent out to the list serv  by prior emails on February 17, 2015 and again on June 12, 2015.

Please be reminded that you have the opportunity to go to a work session that are being manned by budget analysts to help you address any questions.  These are very helpful and are recommended for this first year of implementation.
