Subject: Facilities Inventory Report

Greetings, UDS Coordinators.

This email is to let you know that we are reinstating data collection for the Facilities Inventory Report, which was temporarily paused in 2016. The data utilized in this report will be used for potential legislative requests and program cost studies and will return to a bi-annual reporting structure.

The building and room files from your institution's last submission have been updated with the current academic year and placed on your SFTP site in the outgoing folder under the names Ixxx_bldg_2324.txt and Ixxx_room_2324.txt, where 'xxx' is your institution's three-digit number (e.g. 110, 111, 120). If you have minor changes, major renovations, or new additions, your records will need revisions or additions. Keep in mind that the 2023-2024 academic year is the year being processed, so the buildings and rooms on the inventory should include the buildings and rooms that are being utilized in 2023-2024.

Also, when adding or revising records, recall that the link between the facilities inventory and the Unitized Data System is the building number and the room number: Building Inventory, Element 5; Room Inventory, Elements 5 and 6; and UDS Record E (Enrollment file), Elements 18 and 19. Remember that the inventory files and the UDS files must match.

We ask that you submit updated files no later than January 31, 2024. In the event that we do not receive new files, your most recently submitted files will be substituted in the utilization calculations.

An electronic copy of the Facilities Inventory Manual is attached. Instructions for using the data files are also attached.

Your institutions business officer is the contact who may be responsible for generating the updated data that you will need for this report. Likewise, physical plant personnel are often the individuals who directly measure room size or inventory facilities.
