As you do, please keep in mind the information that you need to collect to include in your final report next year. In addition to the evaluation plan that was presented in your proposal, you must also include the following information which was specified in the RFP. C. Evaluation by Grantees Each grant proposal must include a plan for program evaluation. At the time of final budget report submission, a final assessment report, based upon this plan, must be submitted, before the remaining balance of the grant will be paid. At a minimum, this report should include: (1) a description of the activities undertaken; (2) an enumeration of the population served, with special attention given to the access extended to private school personnel, as well as representatives of historically underserved and underrepresented groups; and (3) an objective evaluation of the effectiveness of the grant activity as measured against the program's objectives established in the grant proposal. Each project must also include the number of teachers who teach in Title I school-wide schools, or in schools with high Title I targeted assistance. Identification of these schools is available through the State Department of Education. Institutions not providing the report or any other reports required by the State Regents in accordance with the federal regulations will jeopardize future funding opportunities from the Eisenhower program. At this time, copies of any publications or materials that resulted from the grant should be submitted along with a summary financial statement detailing revenues and expenditures by accounting object. Form ESEA SR00-01 will be used as part of this reporting process. I would also encourage each institution to conduct an informal survey of the participants on areas of need for future grants. I would encourage you to use this list serve to share these comments with me. If I can be of assistance, please let me know. We obtained school addresses for teachers who were possible participants and sent them letters with a brightly colored information flyer. This was done twice over a one month period. 2. Our public relations office was helpful in getting an article in the Oklahoman which some teachers noticed then contacted us. 3. Word-of-mouth was also useful. Teachers who received the information contacted other teachers whom they thought might be interested. Something I just found out today (too late for this year, but will be valuable for next year) is that our Gear Up program will help us advertise our workshop. In fact, they will pay any fees associated with professional development activities for teachers from the schools in their program. We have no fees that they must pay to attend our workshop, but their schools must agree to provide substitutes and allow them to participate in the follow-ups and must also agree to provide a certain amount of classroom materials for them in the fall to assist them with implementing the ideas and activities they learn at our workshop. The Gear Up program can pay this for the schools in their program. Saturdays were necessary because my facilitator was a high school teacher who could not get off from her school that often. The problem was that I had very low attendance. The science-teacher coachs that I had recruited prior to that being a requirement could travel to games on Friday nights and make to to an all day Saturday meeting. Lot of other teachers were interested also until they realized they would have to commit to Saturday meetings. I think they can be helpful for all. Saturdays are an effective way to meet the 45 hour requirement. Here are some other ideas as well which might be helpful. Anyone who is using a different strategy -- please share with us. * Use the teacher prof days before school begins for the teachers (your participants) to share with others in their school at similar grade levels. * * Consider setting up study groups where the teacher/participant meets with some colleagues to discuss a lesson plan or a case study which reflects the goals of your workshop. They could report back to you via email each time. * * Schedule time to observe the teacher in the class (you should be able to count your observation time) and then meet with the teacher. Have the teacher schedule time to observe in other classrooms utilizing some criteria. * * Work with the teachers to develop a professional growth plan. This also could be done via email with a short meeting(s). * * At the end of your summer training, have the teacher(s) make suggestions on ways to meet the 45 hour follow-up. They may be together at times and maybe do things separate at times. Please try to make the 45 hours of follow up a way to ensure the teacher/participant is reflecting on the summer training, implementing strategies/curriculum, and/or growing as a professional. Stacey
