Good morning!

It is time to start thinking about year-end annual assessments!

We are including a combination of local self assessments and site visits this year.  Below you will find information regarding the process.

The local self-assessment will be due back to the Oklahoma Main Street office by June 2, 2017.  We want to use this information as part of our site visits.  If you schedule your year-end site visit before June 2, we will expect this information to be waiting for us at that time so we can review it then.

  We would like to conclude all of our site visits before annual agreements are due on July 14, 2017.  We realize that it is a lofty goal...... :)

YEAR-END REVIEW



A Year-End Review is a service from the Oklahoma Main Street(r) Program made available to Main Street communities annually. The purposes of a year-end review are:

*         Review and recognize past accomplishments

*         Identify program strengths & resources

*         Understand obstacles (How to overcome?)

*         Goal setting

                      1. Meet or exceed the 11 Criteria for NMS Community Recognition

    2. Local goals

*         Establish objectives, time lines and communication links.

*         Measure and report results



Year-End Reviews are not grading systems or report cards.  This is not a pass/fail process.  Instead the yearly assessment aims to sharpen the focus of the board of directors and seek ways of improving the process of downtown revitalization. This one day visit requires participation from the program director, board members and committee members.  This year we will be using a combination of local program self-assessment as well as on-site visitation.



Usual Procedure:   After receiving this email that includes the local program self-assessment, the local Main Street board chairperson and program director, along with state staff, will set a date for the review that is agreeable with everyone. This is typically held before annual agreements are due in July.  The review is scheduled for one day and held on-site within the local Main Street district.  A place must be arranged suitable for conducting meetings with all committees and the program director.



A "sample" meeting agenda is presented below.

9:00 - 10:00                      Promotion Committee meeting

10:00 - 11:00                   Economic Restructuring Committee meeting

                11:00 - 12:00                   Executive Committee meeting

12:00 - 1:30                      Lunch with Program Director

1:30 -   2:30                       Organization Committee meeting

2:30 -   3:30                       Design Committee meeting



The agenda can be custom tailored to meet the specific needs of the Main Street program.

Based on local program self-assessment (that will be completed before on-site visit), a written report of the Year-End Visit will conclude the process and furnish recommendations to improve the Main Street community including needed services. The intent of all recommendations is to provide positive support for the future direction of the local program and provide a snapshot of where the program is in relation to the National Main Street Center's Accreditation Criteria.

The Year-End Review is a resource for the local Main Street program.  Make the most of it with a high turnout of Main Street stakeholders.
