Greetings, all!
The State Regents approved the 2015-2016 Course Equivalency Project (CEP) last week.
The entire CEP is now available for your viewing here. The Excel file includes a column listing additions, deletions and modifications so that you can update your databases (see "Final Action" descriptions below).
"Request for Deletion"= This course will not show up in the final 2015-2016 publication, as the course has been removed from the CEP for
this catalog year. (The course equivalency must still be honored for the prior years in which the course does
appear, however.)
"Update/Modify"= Either a course number, prefix, or note code has been updated. The information appearing on this spreadsheet is the
corrected information.
"New Record" = Indicates this course is new to the associated Common Course Code.
"No Changes" = Indicates this course was included in last year's CEP under the same Common Course Code.
The CEP will be published and made available to the public via our website in the coming weeks. Common Course Descriptions and a code to the "Notes" is available here.

It's that time again, fellow OACRAO members! We are preparing for the fall conference and celebrating a milestone within our organization for its 90th year. OACRAO has been active since 1925 and continues to promote cooperation among the institutions of higher education in Oklahoma. Our members provide a wealth of knowledge in the various functions of admissions, enrollment management, registration and record keeping.
Our annual fall conference is the primary event which allows us to collaborate and share information. We hope you are planning to attend the 2015 conference to be held September 30, 2015 - October 2, 2015 at the University of Central Oklahoma in Edmond. As mentioned, we are celebrating OACRAO's 90th year and promoting leadership within our profession. The theme for the Fall 2015 conference will be "OACRAO 90: A Legacy of Leadership". You will experience fun, tradition and a variety of informative sessions.

I am looking to establish the general practice for students to indicate citizenship on applications for admission. These are Admission questions only and are not related to in-state residency decisions.
Question 1: How specific are your citizenship and/or country of birth questions on your application for admission. Do you simply ask a "Yes/No" in regards to citizenship or to you have follow-up questions?
Question 2: If students are not citizens what documents and/or information do you require (if any) prior to admission?
Examples:
A: Student indicates that she was born in Japan but is a naturalized citizen.
Do you require additional documentation for admission?
B: Student indicates that they are not a citizen of the United States.
What additional documents do you require?
C: Student is a Lawful Permanent Resident.
Do you require a copy of the LPR card? Do you apply any future holds.

This is our current policy at SWOSU.
On our application the first question is "Are you a citizen of the US?" If the answer is no then the next question asks the student to select a residency status. Our options are "Permanent, Permanent Pending, International, Undocumented, or Asylee. Our application also has country of birth.
If someone indicates they are a citizen but born outside of the US, we require proof of citizenship before admitting the student.
For our non-citizen students, here is a quick list of required documents:
International
(our international affairs coordinator takes care of this so I am skipping this part)
Undocumented
Affidavit of Intent (reminder is placed on my calendar to ensure follow-up at the 1 year time limit)
Asylee
Letter from State Department
Permanent Resident Pending
Proof of Perm Res Pending Status (usually court documentation)
Permanent Resident
Proof of Perm Res (copy of Perm Res Card) (If the card is only valid for a short time (less than 5 years), a reminder is placed on my calendar to ensure follow-up prior to expiration, but if the card is good for 5 or more years from the time of admission, we do not have a follow-up in place at this time)

Dear Participating Institution,
In our review of educational institutions for the Department of Defense Voluntary Education Partnership Memorandum of Understanding (MOU), we found that several institutions appear to be displaying the "Official Seals" of the Department of Defense (DoD), the Military Departments (i.e., Army, Navy, Air Force, and the U.S. Marine Corps), on institution websites, and in various institution publications (e.g., catalog), advertisements, brochures, and billboards. We are presuming that the use of these official seals is intended to acknowledge support for our Service members and to advertise academic curriculum tailored to meet the needs of the military community. However, the use of these official seals is expressly prohibited without first obtaining official permission. Consequently, the Department is concerned that this type of inappropriate use may create an appearance of endorsement or affiliation. For example, consumers could view the advertisement and assume the Department of Defense or a particular Military Department or other DoD entity endorses or favors the policies, programs and services offered by a particular institution over those of another; or that a DoD entity may be affiliated with a particular institution. As a Participating Institution, it is imperative that all Voluntary Education Partnership MOU signatories be in compliance with DoD policy.
As explained at http://www.defense.gov/trademarks, the Department of Defense and Military Department seals are protected by law from unauthorized use, and these seals may NOT be used for non-official purposes. However, the Military Departments and some other DoD components may approve a private party's use of an alternative symbol, such as a Service emblem or coat of arms, on a case by case basis. Notwithstanding those case-by-case procedures, however, there is no such substitute for the Department of Defense seal, and there is no optional graphic that would represent the Department of Defense. Additional contact information to seek permission for authorized use of Military Department or other DoD entity images is also provided at: http://www.defense.gov/trademarks. In addition, institutions are encouraged to review information regarding the appearance of uniformed Service members in advertisements at http://www.dimoc.mil/resources/limitations.html.
We hope this notice and the resources provided therein will inform current and future decisions concerning the use of any DoD official seals or other trademarked insignia. We request that any DoD entity official seals or other insignia that are currently being used in publications, advertisements, brochures, on billboards and websites be promptly withdrawn and that all future use cease, except in cases when permission has been granted by the appropriate DoD entity. Your immediate assistance with this matter is greatly appreciated.
