Here?s UCO?s policy from the faculty handbook. We process AW?s with a 75% refund. Because of that, we have the faculty report the AW as a midterm grade, then staff in Admissions actually do the withdrawal. And the AW is faculty initiated, not student initiated. If an AW is recorded, and then the student decides to show up, we leave it up to the instructor as to whether or not to reenroll the student. Complications arise when the student has been refunded the 75% or Financial Aid grabs it, and then we reenroll the student and now they?re charged the 75% again. AW Administrative Withdrawal - assigned by faculty to a student who never attended a class and who never officially withdrew. The AW grade cannot be assigned until after the last day to drop a course with 100% refund but no later than the last day to officially withdraw from a class for the semester. Examples of attendance in general, provided by the U.S. Department of Education are as follows: physical class attendance; submission of an academic assignment; examination, interactive tutorial, or computer-assisted instruction; study group interaction assigned for the course; participation in an on-line discussion, and initiation of contact with instructor to ask question about academic matters. Simply logging into a course does not constitute attendance. Our policy states that ?non-attendance of classes does not constitute official withdrawal?, so financial aid and the Controller will get involved to make a decision as to whether the account should be zeroed out. However, we do have a ?Non-voluntary Withdrawal from the University. Students may be required to withdraw from the University for habitual absence from class, habitual idleness, or any other behavior that prevents them from fulfilling the purposes implied by their registration in the University. ? And ?Non-voluntary Withdrawal from a course. Students may be withdrawn from a class for habitual behavior which prevents the student or other students from fulfilling the purposes implied by registration in the University.? Any student not attending is dropped and all charges reversed. Beginning week 3 through Friday of the 12th week a faculty member uses our Early Alert System and can warn a student who missing too many classes & then can drop the student. Banner assigns CRNs based on the semester/session in which a course is offered. As such we have the same CRN assigned in different terms. For Banner this is not an issue. However, our LMS coordinator is building courses out and this is causing an issue for them as currently they look at the term and CRN (2017-XXXXX). When a course in 201710 and 201711 has the same CRN it causes an issue. Is there a way to directly assign a CRN if you know it hasn't been used or does Banner have to generate it? It either automatically one-ups, or rolls from the previous last like term However it looks like the LMS setup is not looking at the term, but at the year. If they used the actual term and CRN, then you'd have 201710-15570 and 201720-15570, both unique. Banner assigns CRNs based on the semester/session in which a course is offered. As such we have the same CRN assigned in different terms. For Banner this is not an issue. However, our LMS coordinator is building courses out and this is causing an issue for them as currently they look at the term and CRN (2017-XXXXX). When a course in 201710 and 201711 has the same CRN it causes an issue. Is there a way to directly assign a CRN if you know it hasn't been used or does Banner have to generate it?
