One of our Biology faculty, who has a strong history of being awarded INBRE grants, has accepted our Department Head position which will mean he is required to be on campus for a standard M-F work week. His INBRE grant, which he is likely to be awarded again for next year, entails that he work on this research the equivalent of one month a year. In the past, he has worked on it during the summer and wrote into the grant one month's salary plus benefits. Beginning July 1, he begins his Dept. Head duties. Can he write into his 2023-2024 grant application that he will work nights and weekends for that one-month's salary and benefits? We need guidance here. Thank you so much for sharing your expertise. If so, we would treat that as supplemental pay for staff, in which case, yes, it would need to be above and beyond his 40 hour week, and the hours recorded and time and effort reported of course. We have a policy that allows our staff/full-time people to work up 25% over the 100% FTE but if it is much over, it has to have supervisor and often VP level approval. It is rare that anyone on a 12-month FTE goes beyond 10% over. It is rare that anyone on a 12-month FTE goes beyond 10% over.
