Thank you so very much! This is quite logical, and I will share it with our VP for Academic Affairs.

I love working with smart people.

So this new position is a 12 month FTE and he is exempt, right?

If so, we would treat that as supplemental pay for staff, in which case, yes, it would need to be above and beyond his 40 hour week, and the hours recorded and time and effort reported of course.

We have a policy that allows our staff/full-time people to work up 25% over the 100% FTE but if it is much over, it has to have supervisor and often VP level approval. It is rare that anyone on a 12-month FTE goes beyond 10% over. If previously it was 1 month and he was a 10 month contract, that would have been 10% of the FTE, but at a 12 month contract, 1 month is 8.33% of an FTE, or about 3-4 hours extra per week, 1-2 days a month, etc.

Dear Colleagues,

I have a question that I'm confident you all can answer. One of our Biology faculty, who has a strong history of being awarded INBRE grants, has accepted our Department Head position which will mean he is required to be on campus for a standard M-F work week. His INBRE grant, which he is likely to be awarded again for next year, entails that he work on this research the equivalent of one month a year. In the past, he has worked on it during the summer and wrote into the grant one month's salary plus benefits. Beginning July 1, he begins his Dept. Head duties.

Can he write into his 2023-2024 grant application that he will work nights and weekends for that one-month's salary and benefits? We need guidance here.

Thank you so much for sharing your expertise.

Mary

Thank you all for all the great feedback!

And yes, when looking at office space, classroom space, etc. it depends on indirects.

Have a great evening!

Lori

Susan,
I am not about Lori's scenario, but my last "case" was providing office space for a community entity as an in-kind where indirect costs were not a factor, so I used fair market value instead.

Now I'm curious about why this would be "in-kind." I thought space is considered a part of indirect cost. Please educate me. This may be a tool we are overlooking.

Lori,
The last time I had to get a specific in-kind estimate, I contacted two local real estate/leasing agents for a quote, and one had a similar office space for lease at that time. The quote and actual lease amount were very close and showed non-bias on my end. They were happy to donate 15 minutes of their time as community goodwill.

Subject: [Okgrants] Grant in-kind match question

Hi All,

Does anyone have a fair market value for an ~100 sq. ft. office space with internet/tech infrastructure per year? Or a reference for such?
I'm needing to show this for in-kind on a federal grant.

Thanks for your help!

Lori
