Howdy Drovers!
As finals are approaching and we’re almost to summer! We wanted to wish you well as you begin to prepare for and take your final exams. That also means that End of Year Check Outs and Spring to Summer Housing moves are coming up! We wanted to take some time to go over the End of Year Checkout process this year
Here is what we need you need to know:
* End of Year Check-out will go from 8:00AM-8:00PM, Tuesday, April 28th-Sunday, May 3rd 2026
* End of Year Check-Out appointment sign up link is found below for your respective community (All residents not staying for the summer are REQUIRED to sign up for an appointment at least 24 hours in advance of when they want to leave or are subject to an Improper Checkout Charge)

* All residents are required to check out within 48 hours of their last scheduled final
* An RA will meet you at your room at your scheduled checkout time. If you experience any unforeseen delays, please communicate with housing as soon as possible.
* Residents staying on campus for the full summer/have a 12 month contract or are participating in independent study are permitted to stay in their current housing assignment until notified of their summer housing assignment being ready and do not need to sign up for a check-out
* If Summer residents in housing for Spring cause disruption(s) to their community that impact other individuals' ability to prepare for finals or sleep; may be required to check out of Spring Housing immediately and not permitted to return until their Summer Housing assignment is ready
* Please note, in these instances Housing or USAO will NOT be responsible in any way for housing accommodations in the time between the issue and the start of Summer Housing
* Graduating students, you have until Sunday, May 3rd to check out of housing
* You will still need to schedule an appointment to checkout
* If you are an international student with a flight outside of the check-out window noted above or have a significant/urgent need to check out outside that time frame, please contact the Housing Office (housing at usao.edu) as soon as possible to request a scheduling accommodation
* When you sign up for your appointment you must be check-out ready, which means all of your belongings are loaded in your vehicle, your room is clean, your applicable drawers and cabinets are open and mattress flipped up toward the wall and your keys easily accessible to return to the RA at the time of check-out
* If you do NOT sign up for an appointment at all you may be charged for an improper checkout and will be subject to wait times until the RA has an opening in their checkout schedule
* If you leave your keys somewhere and leave without checking out with a staff member you WILL be charged for an improper checkout and will also be held liable for any cleaning fees, damage charges, key recovery/replacement fees if keys are not found, or any other applicable fines/fees
* When RAs are doing your check-out they will be looking for all damages, cleanliness, trash, or abandoned property issues and noting everything in your check out form
* Housing Professional Staff will review all checkouts with damages and compare them to your Room Condition Reports (RCR) filled out at the beginning of the year.
* Any issues identified that were not noted on your RCR you will be subject to fines/fees as appropriate based on the extent of the issue identified.
* It is at the RA’s discretion, based on the training they were provided, to determine if you are check-out ready or not.
* They have appointments every 15 minutes for checkouts throughout this time frame so they may have limited time to complete your check out if you’re not ready
* If an RA requests you remove garbage, clean up your space, remove items, or open drawers and cabinets please comply as this will aid in avoiding fines and fees being assessed to your account
* Please remember to be kind and patient with your RA’s and all our Housing staff as we may be addressing other issues that arise during check out appointments or earlier appointments may not have been ready on time. There are over 500 of you and 18 of us
* If for any reason a resident or guest of a resident checking out become hostile or combative to a Housing Staff Member performing their duties we reserve the right to leave the space, assess an improper check-out fee, and cancel your appointment
* Summer Session will be from June 8th-August 6th
* Move in will be Friday, June 5th at 9:00AM
* We will allow you to stay in between the Summer Session and Fall Session if you have a 2026-2027 Academic Year (9 month) Contract OR a 2026-2027 (12 month contract)
* If you do not have a contract for the Fall semester then you will be required to vacate your summer housing assignment by Friday, August 7th, 2026 at 5:00PM CST
