The quote Kate got was $356 for 40 people so $8.90/person.  I looked at the numbers again and one of the main reason I did not think this was doable was that last year we only brought in $375 (25 paying people).  I don't think we charged presenters for registration.  Our costs were $154.60.  Based on these numbers we have $220.40 to use for lunches, which at $8.90 each we could almost do that for the 25 paying registrants, but it puts us over for the presenters.

If we cut back on the gift cards and only bought 2 @ $20 for door prizes (last year I think we bought 4 and gave them to presenters, it seems like there were more, did we only do them for $10) then I think we could just break even and buy lunches, but only if we can put in an order last minute where we are more sure about the number.

We have a couple in Stillwater, but I have no idea what it would take to get them to come out to Langston. I suppose I could ask, but they may be concerned about the amount of business if they leave their normal spots to come all the way to Langston. I don't know if we could guarantee a certain amount of business for them or what...

May I ask, how cost prohibitive are the lunches?

Good questions!  Glad to see extra solutions thrown out there.

Kate, would you be willing to weigh in on this?

If we are allowed to bring in outside food, I'm happy to grab an ice chest and help out there.  I also wouldn't mind paying extra for a lunch.  I can add that to the registration form if that is what we want to do.

As the call for registration has gone out, I'd prefer to get this resolved ASAP!  :D

Adam,

How late do we have to decide on the box lunches?  I think a drive to Guthrie for food would need more like a 2 hour lunch and there may be some people (for health or other reasons) that cannot skip lunch.  I was thinking that we add lunch cost to the registration and people can indicate if they want (and pay for) a box lunch so the cost is built in.  Those who opt out would know they need to pack a lunch or some option.  We could still have some type of snacks available and make that clear on the registration so people can make the choice.

I don't know, it might be better to just give people time for lunch.  Do we have the option of bringing in outside food at Langston?  Do they have a food court?

Greetings all,

Just curious how you folks weigh in on this.  It turns out that catering/box lunches is cost prohibitive at Langston. So, we have a few options.  One option is to add extra time to the lunch hour so that folks can travel to Guthrie to eat.  This would add about thirty minutes on to the lunch hour, as Guthrie is a bit of a drive.  That would put lunch at 12:15 PM- 1:45 PM.  Our last session would be 2:00 PM - 2:45 PM, and wrap up would be 3:00 PM -3:15 PM.

The second option would be to offer a light snack, and push everything forward skipping lunch.  In which case we would have a 30 minute break for posters and snacks, and continue on, wrapping up the conference at 2:00 PM-2:15 PM.  What do you folks think?

I'm fine with either choice.  Lunches allow a chance to catch up with your friends and peers.  A shortened schedule gets people back on the road to home earlier :)
